    Job summary

    Support the rapid growth in our global engineering headquarters by maintaining our global standards of appearance and service. Red Hat’s Global Workplace Solutions (GWS) Operations team is looking for an experienced Office Coordinator to join us in Westford, MA. In this role, you will ensure the success of daily office activities and functions including safety, services, programs, logistics, and maintenance. You’ll need to have excellent communication and customer service skills, as you'll manage a range of responsibilities including reception, customer service, creating and using spreadsheets, event planning, visitor management, safety and security compliance, and addressing and directing all employee requests. As an Office Coordinator, you will also track the office budget, resolve invoices, and suggest changes based on ROI.

    Primary job responsibilities

    • Manage tickets Internally via gws@redhat.com, Property Management team, etc.
    • Track invoices (receiving, budget tracking, etc.)
    • Be responsible for office communication and mailing list administration, including general communication regarding lost keys, new program or process rollout, or facility notifications
    • Take care of logistics
    • Manage employee requests
    • Be in charge of ordering and stocking of shared local office supplies and copy station supplies, including stationery
    • Perform building walks, stocking copy station and building supplies, resetting conference rooms, assessing conditions like status of paint and carpet, overall clutter, etc.
    • Provide new hire onboarding and offboarding support, including new associate building tours
    • Take care of on-site storage, including managed assignment of file drawers and closets
    • Select vendors, evaluating service and cost to determine the best vendors for the local operation
    • Manage vendors, coordinating the arrival and direction for on-site vendors and validating deliveries
    • Manage personal credit cards and petty cash
    • Manage corporate events, coordinating activities to support cross-functional office events
    • Serve as a GWS or Office Committee member, participating on shared group or office committees
    • Manage safety and security

    Required skills

    • 2+ years of related experience
    • Bachelor's degree or equivalent; relevant certifications will also be considered
    • Experience in office administration in a large facility of 400+ employees
    • Logistics experience in a large office environment
    • Excellent written and verbal communication skills
    • Excellent organizational skills with a high attention to detail
    • Advanced ability to contribute to systems and processes for smooth office operations
    • Working knowledge of workplace tools including documents, spreadsheets, and presentations
    • Ability to work with minimal direct supervision
    • Willingness to work with cross-functional teams while taking on additional projects as needed
    • Excellent customer-service capabilities
    • Ability to work in a fast-paced, cross-functional environment and contribute to Red Hat's operational success
    • Background with corporate space expansions and reconfigurations is a plus
