    Job summary

The Red Hat Facilities Operations team is looking for an Office Manager to join us in New York, NY. In this role, you will manage the day-to-day operations of the downtown New York office, while supporting the Global Workplace Solutions (GWS) Facilities Operations team to ensure the success of daily activities and functions, including reception, budget and space management, ticketing services, purchase orders (PO) support, vendor support, and various Red Hat events. We'll need you to have excellent communication, organization, and customer service skills to help take this location to the next level while also participating in global projects and initiatives with innovative ideas and enthusiasm.

    Primary job responsibilities

    • Build access requests, visitor check-ins, office mail, and answer and transfer phone calls within defined service levels
    • Create office budget, track invoices and purchase card expense, and create PO
    • Manage GWS ticketing, including triage, updates and resolutions within defined service levels
    • Administer office mailing list and local office intranet page
    • Order, manage inventory and stocking of breakroom supplies as well as office supplies for common offices areas
    • Manage the conference rooms, breakroom, and other office common areas
    • Evaluate service and cost for the best vendor selection; coordinate the on-site vendors, and validate deliveries
    • Coordinate activities to support cross-functional office events, meetings, and parties
    • Support new hire onboarding and associate offboarding
    • Support local office security, quarterly safety inspections, office first aid and safety warden program
    • Participate in various local and regional projects and programs

    Required skills

    • Experienced in delivering premium customer service
    • Excellent written and verbal communication skills
    • Professional business appearance at all times
    • 5+ years of related experience
    • Bachelor's degree or equivalent; relevant certifications will also be considered
    • Office management experience in a mid­-large sized facility
    • Great organizational skills, with an attention to detail
    • Proficient in use of G-Suite and Jive
    • Solid research, discovery, and critical-thinking skills
    • Comfortable in a highly collaborative environment with the ability to work well with cross-functional teams
    • Ability to prioritize, problem solve, manage time effectively and stay motivated
    • Positive and enthusiastic attitude with the ability to adapt to changing project demands
